Token Advance is Required to Start Work
We never work without a token advance when the project is awarded. This advance is always USD 1200 and we are not open towards negotiation on this policy. This payment is needed because just as we commit a team to do the work, the client must commit some token amount to indicate that they have done their diligence and selected us because the client believes we can deliver the project successfully. The entire purpose of our sales process is to build that conviction in the mind of client. We invest high intelligence into sales process as it is about promising what we can deliver (nothing more and nothing less). This deposit money is used to support free beta testing and resolution for 1 (ONE) month at the end of the project after the application is live.
Work Timings
Our employees do a six day week from Monday to Saturday with Sunday as a weekly off. Project Managers and Technical Architects are senior employees and they get a five day week with both Saturday and Sunday off every week. Every employee who works for 6 days a week is entitled to 24 days of paid vacation and 5 declared holidays per annum. The normal timings of programmers are 8:30 AM to 5 PM with 30 minutes lunch break from 12:30 PM to 1 PM. In case a particular programmer needs to work in evening timings like 2 PM to 10:30 PM so that he / she can communicate with the client directly, then that programmer gets a five day week with Saturday and Sunday as weekly off days. Our time zone is GMT +5:30Hours. Hence we commit a minimum of 160 person hours of work per month for each employee.
General Assumptions
- The currently referred site content contains text and images. It will not have streaming or static video content on the site which integrates with third party components
- No video based communication among members is required on the site
- Any client specific site content will be provided to Option Matrix in electronic form and no new content needs to be created by Option Matrix through any original research
- Only the features mentioned in the scope of work above are a part of the project and extra features will be scoped separately, if required at a later stage.
- If client insists on the use of a third party web service or component which is not natively provided by open source library, then the cost of licensing such a component will be borne by client
- Client is responsible for costs related to network infrastructure, domain registration, firewall security and web hosting services for the live site at implementation stage on completion of project
- Purposes other than providing site information are already included in the scope of work section above and there are no other purposes beyond these listed ones, for the purpose of this project
- Option Matrix services only include the design and programming efforts
- Client will provide a single person point of contact and there will be a single point of contact from Option Matrix as well. Option Matrix will not be required to directly deal with the various committees and members for the purpose of designing the site
- Client will provide a sign-off on the design document and the implementation will be based on the design.
- Client will promptly provide inputs and feedback on review links along with sign-off on intermediate deliverables to Option Matrix, during the project. Such feedback will be provided within 2-3 days on an average and 4 days at a maximum. Option Matrix will provide a revised review link every week.
- Client will communicate with Option Matrix using either VOIP phones or e-mail or instant messaging like MSN or Yahoo or SKYPE or Google Talk or any other based on mutual preference.
- There is a time zone difference between Client and Option Matrix and we will be available at convenient timings (Indian Time) for live discussion
- Daily reports and timesheets will be submitted by Option Matrix to Client. This frequency can be changed as per Client preference.
- Purchase of Licenses, domain registration and web hosting charges, licenses for SSL certificates, payment gateway registration charges, translation of any documents from English to Foreign Language if required, Networking, Purchase of Hardware and Expenses for Onsite Visits are not covered in this proposal and will be an extra expense
- All database & user interface design / programming / system testing will be done by Option Matrix. Adequate operating instructions will be provided
- Option Matrix will setup a development and test environment at their office in Hyderabad and all project work will happen at this site.
- Option Matrix will upload Application/Web-site Updates every 2-4 days
- Option Matrix works Monday to Saturday and Sunday is a weekly off day. Some employees get weekly off on Saturday.
- Option Matrix works one shift in a day and this cannot be changed to two shifts due to current government laws and company guidelines for employee work timings / data security
- Option Matrix will use only ENGLISH in all communication and any required translation to English and vice versa wherever required will be provided by CLIENT
- Option Matrix will provide a source code at the end of project.
- Client Team will provide timely and clear requirements on features and functions needed in every stage of the project. Also, respond promptly when we need clarifications.
- Client will provide a single point contact as Project Coordinator who will know both English and would interface with Option Matrix Team on a daily basis or as required
- Client will be responsible for Purchase of Licenses and registration of licenses. These expenses are not covered in this proposal and it will be an extra expense for Client
- Client has exclusive rights on the source code and Option Matrix is not liable to any business or associated market risk linked to this project.
- Cost of training the users is extra and is not estimated at this point. Such support if required will be based on actual requirement conceived at the end of the project.
- Historical data migration or data entry beyond transferring existing site content to new design is not included in scope of work.
